Housing Reservations
Special discounts are available at the hotels. The special rates can be obtained by making hotel reservations online at the TCEA web site by Jan. 9. You must make your reservations by Jan. 9 to qualify for the discounted rates, however the TCEA room block often sells out before that date, so make your reservations early.
TCEA has secured room blocks at specially discounted rates at 16 Austin hotels. These room blocks are managed by a housing bureau, not the individual hotels. In order to receive these discounts, reservations must be made online via the TCEA web site. Do not contact the hotels directly to make reservations or to change reservations.
At the end of the online process, you will be given the choice of making an additional new reservation. An acknowledgement will automatically be sent to your e-mail address.
The acknowledgement number is needed to view your reservation online, and to make changes and cancellations. Misplaced acknowledgement numbers may be obtained by going on the TCEA web site and entering the e-mail address that was used to make the reservation. The acknowledgement number will be sent to this e-mail address.
Deposits/Taxes
A credit card deposit in the amount of one night’s stay plus tax is required on all reservations and is processed upon arrival. All rooms are subject to a 9% lodging tax if you are tax exempt, 15% if you are not tax exempt.
Changes/Cancellations/Refunds
Changes and cancellations may be made online using the reservation acknowledgement number. Beginning Nov. 3, 2008, a $25 cancellation/processing fee will be charged to all reservations cancelled. After Dec. 1, 2008, a $50 cancellation/processing fee will be charged to all cancelled reservations. Your full deposit will be forfeited if you do not cancel within 72 hours of arrival date. Multiple Reservations
A maximum of 10 reservations may be made online by any one person. When making multiple reservations, an acknowledgement will be sent only to the person making the reservation, however, the acknowledgement will include a unique number for each person so that, if desired, each guest may access their reservation to make changes or to cancel their reservation.
If you are making more than 10 reservations, you have the option of going back into the system and making an additional 10 reservations each time. If you don’t want to take the chance of not getting into the same hotel, send a housing form to the TCEA housing bureau and they will try to get your group into a hotel that has the availability needed.
